Guidelines & Tips for using Welink

To REPLY to a message sent to the list:

If you want your reply to go to the list, select ‘Reply All’.

If you only want your reply to go to the sender of the original message, select ‘Reply’ and make sure that only their address is in the “To:” line.

In additional to the guideline above about replying to the list, we ask that you follow three practices which aim to reduce download size and protect members’ privacy.

Avoid sending emails that are larger than 500 Kb

If you want to send something larger than 500 Kb, first send an email to the list that describes the message content and asks who’d like to receive it. Then send it only to those who request it

To reduce size of emails we suggest doing some or all of the following:

  • use plain text
  • reduce the size and/or number of any picture attachments
  • remove or reduce the amount of elaborate formatting
  • don’t include automatically formatted signature blocks

These are just suggested measures, there’s no need to follow them all if your email is less than 500 Kb. See notes below for advice on how to check the size of emails before sending them, and how to reduce picture sizes.

Avoid cross-posting to the list (i.e. including in the “To” field the email addresses of people who are not welink members, or of other lists). When you cross-post, you risk breaching people’s right to privacy by making their private email addresses available to others without their permission.
Always request permission from the original sender before forwarding welink posts to non members (especially posts of a personal nature). Observing this will help to keep welink a safe place where members can openly share information and experiences.

Ensure that the whole text of the email to which you are replying is not attached to the end of your reply— just quote anything you need to for clarity’s sake, don’t recirculate long strings of correspondence. (This helps to reduce the volume of email).

Some hints and tips for managing your welink messages

  1. Short replies
    It can sometimes be helpful to send very short replies within the subject line and to end the message with ‘EOM’ (short for ‘end of message’). When replying to these messages using the normal method, either change the subject line or delete the ‘EOM’ from the subject line.

  2. Set your email program to view the size of emails
    To set Outlook or Outlook Express so that you can see the size of an email, do the following: Right click on the bar containing the headings ‘From’ ‘Subject’ and ‘Received’ Select ‘Columns’ Tick the box ‘Size’. A new column will be created on the far right hand side which tells you the number of kilobytes of each email. You can set the size column in both the In box, Drafts, and the Sent Items folders.

  3. Sending messages in plain text format
    To send a message in plain text format using Outlook Express, create your message then select Format and then Plain text. You can also set your mail sending format for all messages in Tools > Options > Send > Mail Sending Format

  4. Sharing photos
    Use one of the many free programs available, for example
    VSO Photo Resizing, to resize your photos before sending them to the list.  You can then insert them directly into an email, or if you have lots of photos to share, then joining one of the photo sharing sites may be more appropriatePhotobucket and Flickr are just two examples of these sites.
